JSSPTA Positions – Duties and Responsibilities

 

JSSPTA BOARD POSITIONS

President – leads PTA toward specific goals chosen by its members; oversees the activities of all PTA Board members and committee chairs.

1st Vice President – serves as primary aide to the President and Enrichment Coordinator.

2nd Vice President – Ways and Means Vice President; oversees PTA fundraisers.

Recording Secretary – takes minutes at meetings, records motions, and prepares authorizations for payment.

Financial Secretary – keeps records of all monies received, and makes deposits to bank.

Treasurer – maintains financial records, writes and signs checks.

Corresponding Secretary – maintains email database and prepares weekly email blast.

Historian – assembles and preserves a record of the activities, achievements, and volunteer hours of the association, and acts as custodian of records for the association.

Parliamentarian – gives necessary advice in parliamentary procedure, calls the first meeting of the nominating committee, and chairs the Bylaws committee. This position is appointed by the President and ratified by the Board.

Immediate Past President – acts as an adviser to the President and other Board members.

Board positions require* attendance at both the monthly PTA Association meetings (first Tuesday of every month) and at Executive Board Meetings (also monthly, usually in the evenings at someone’s home) in addition to fulfilling the requirements of the position (detailed Job Descriptions will be provided to anyone interested).

JSSPTA COMMITTEE CHAIRS

Pancake Breakfast Co-Chairs – Responsible for organizing our annual Pancake Breakfast, one of JSSPTA’s biggest fundraiser of the year. Responsibilities include obtaining proper approvals and permits from school administration and District, dissemination of plans and expectations to volunteers, and coordination of volunteers, vendors, community outreach, etc.

Newsletter (JAG) Editor – Prepares weekly JAG newsletter. Should have good computer and communication skills.

Room Parent Coordinator – Coordinates activities of Room Parents and acts as a facilitator between staff and room parents.

Room Parent – Acts as a liaison between parents within the classroom and PTA/school; creates classroom roster and disseminates information to parents; coordinates classroom activities; solicits volunteers for school events.

PTA Membership Chair – Runs Annual PTA Membership Drive in September. Comes up with theme, disseminates membership information, reports status to Board, and determines incentives.

Volunteer Coordinator – Keeps list of parent volunteers and helps implement PTA’s “Three For Me” Volunteer Program.

Hospitality Chair – Prepares treats for each PTA Association meeting; coordinates food and bake sale for Open House in the spring.

Teacher/Staff Appreciation – Acknowledges teacher and staff birthdays throughout the year, and organizes Teacher/Staff Appreciation event in May.

School Marquee – Updates school marquee on weekly basis.

Book Fair Chair – Coordinates timing of Book Fair with Scholastic Books, including set-up, volunteers and break-down. Helps librarian purchase books earned through Book Fair sales.

Grant Writer – Responsible for obtaining grants on behalf of Justice Street School PTA.

Web Site Manager – Responsible for updating JSSPTA website on a weekly basis, including current activities, list of Board members and PTA volunteers, links to sponsor’s websites, etc.

Spirit Night Coordinator – Coordinates Restaurant Spirit Nights with local restaurants and disseminates flyers and information through weekly JAG, email, website and PTA meetings.

Spirit Wear Sales – Coordinates purchase of spirit wear for sale and coordinates sale of spirit wear to students, parents and staff.

Box Tops/Campbell’s Labels For Education/eScrip Coordinator – Facilitates and coordinates JSSPTA’s Box Tops, Campbell’s Labels For Education and eScrip programs, including collection and preparation of box tops and labels for credit; advertising these programs to our students and staff; and managing our accounts.

Yearbook – Coordinates publishing of Yearbook, including page layout, sales of yearbooks and Love Lines, and submission of pages for production.

Teaching Garden/Beautification Coordinator – Coordinates planting and use of Teaching Garden and coordinates beautification efforts on campus.

Father-Daughter Dance – Organizes annual Father-Daughter Dance event.

Father-Son Event – Organizes annual Father-Son event.

Mother-Son Event – Organizes annual Mother-Son event.

Mother-Daughter Event – Organizes annual Mother-Daughter event.

Art Docent Chair – Coordinates Art Docent program, including scheduling of volunteers, procurement of supplies and development of lessons.

JAG Coordinator – Coordinates publication and dissemination of weekly JAG newsletter and flyers.

School Pictures Chair – Coordinates school pictures and retakes, including setting schedule on picture days.

Calendar Editor – Creates and prints monthly calendar for inclusion in JAG.

Curbside Attendants – Assist students getting out of cars during morning drop off in order to speed up drop-off process at our two designated drop-off locations: at Strathern gate next to two-story building and at Sadring gate next to entrance by kindergarten classrooms.

Dinner Dance Chairs – Responsible for organizing our annual Spring Dinner Dance. Responsibilities include finding appropriate venue, hiring of appropriate vendors, dissemination of plans and expectations to PTA Board and volunteers, and coordination of volunteers, vendors, community outreach, etc.
